Is it safe to let AI see our company data?

Yes, when three rules are followed: the automation gets the narrowest access that does the job, every action is logged, and business data is processed under an agreement that forbids using it for model training. Most incidents come from over-broad permissions, not from the AI, which is why scope is the first design decision.

Narrow permissions, always

An assistant that answers order status questions needs to read orders. It does not need payroll, it does not need the owner's mailbox, and it does not need permission to delete anything. Each connection is set up with a separate account whose rights are listed in the documentation you receive.

Logging is what makes it auditable

Every read, every write and every message is recorded with a timestamp and the reason. If a customer asks why they received something, or an auditor asks who changed a record, the answer is a query, not an investigation. Logs are kept for the retention period you specify.

What we keep out of the model entirely

Card numbers, full bank details, health records and identity document numbers are masked before anything is sent for processing. The automation can work with „the invoice for customer 4821” without ever handling the fields it does not need.

Can an employee see more through the assistant than in the system?

No. The assistant inherits the person's own permissions, so a warehouse colleague asking about margins gets the same refusal they would get in the system itself.

What happens to the data if we stop working together?

Indexes and logs are deleted on request within an agreed window, and your documents were never the model's property in the first place. You keep the connections and the documentation.
